Atlantic Forum is a startup/grassroot initiative set up by a group of alumni from various young leader groups in the Transatlantic Community & Pantheon Consultancy. Our company registration number is NUMBER

Atlantic Forum is an EU-based grassroots organization of young professionals, we strive to draw together the young leaders of today and tomorrow and we see it as our mission to bridge the gap between the policy level and civil society. When we refer to “we”, “us” or “our” in this Statement we mean Atlantic Forum.

This Privacy Statement applies to personal data collected and processed by Atlantic Forum. Our registered office is: Haagsche Hof, Parkstraat 83, 2514 JG The Hague, The Netherlands. Our processing of any personal information is governed by EU data protection law.

How we collect your personal data

We collect personal data in the following ways:

  • When you provide your contact details and preferences to us when requesting to become an Atlantic Forum Patron or participate in Atlantic Forum activities (i.e. travel, attending conferences, online trainings, etc.)

  • When you provide your contact details to us when requesting information about our products or services, either via the telephone, our online enquiry forms or face-to-face.

  • When you engage our consultancy services and/or data protection training

  • When you sign up as a subscriber for Atlantic Forum emails

  • When you register to attend one of our events or webinars, or download one of our reports

  • Via openly available public sources (e.g. LinkedIn or company websites).

The types of personal data we collect

The personal data we routinely collect includes:

  • Full name

  • Email address

  • Postal address

  • Date of Birth (as Patronage is limited to those under 35 years of age)

  • Occupation

  • Areas of interest/expertise

  • Username

  • Contact details

  • Payment details

We do not collect any special category data, as defined under GDPR, such as health data, political and religious beliefs. Our products and services are not aimed at children.

How we use your personal data

We may use your personal data for the following purposes:

  • To fulfil a query, request for services and/or to administer our services (For the performance of a contract or agreement)

  • To facilitate your attendance at one of our events or webinars, or facilitate access to one of our online courses (For the performance of a contract or agreement)

  • To maintain records of prospective, current and past clients and our suppliers (Our Legitimate Interests, which we have balanced with the interests of our clients, suppliers and business contacts)

About our email newsletters

On the Atlantic Forum website we invite you to opt-in and give your consent to receive our email newsletters. We deploy pixels, via our email service provider Squarespace Email Campaigns, to be able to assess open rates. You can unsubscribe from these email newsletters at any point by clicking on the unsubscribe link on any email you receive from us. Alternatively, you can unsubscribe by emailing info@atlantic-forum.com.

About our events and reports

We run regular webinars and other events on topical data protection areas and challenges. When you register for these we collect your name, email address and organisation.  We use this information to facilitate your attendance at the webinar/event.  We may also ask for your details when you download one of our in-depth reports.

Your details may be used by us to send you email communications to your business email address about future events and services. We provide you with a clear opportunity to opt-out. We may also collect and share this information with our sponsors – you’ll always be clearly notified where this is the case and be given the opportunity to opt-out.

Your rights regarding your personal data

You have a number of rights under EU data protection law:

  • Access: You have the right to access the personal data we may hold about you and the purposes for which we are using it. We may ask for proof of your identity. On receipt of such a request we will endeavour to respond to you as soon as possible, at most within one calendar month.

  • Rectification: You have the right to request that we amend any personal data which is incorrect or requires updating.

  • Erasure: You have the right to request that we delete any personal information pertaining to you. We will assess any deletion request on a case by case basis and will endeavour to respond to you as soon as possible, at most within one calendar month. If you have authored any content on the Atlantic Forum website and would like this to be deleted, please let us know.

  • Object: You have the absolute right to object to receiving direct marketing from us. You also have the right to raise an objection about how we are handling your personal data.

Where we store your personal data

We store and process your personal data at our registered offices at Haagsche Hof, Parkstraat 83, 2514 JG The Hague, The Netherlands, at other Atlantic Forum consultants’ sites. Patron intake information (i.e. interests, occupation, chapter preference) are used to segment our mailing lists so we can send relevant emails to the right groups of people. This information is stored in an encrypted Google Sheet. (Google Workplaces are compliant with GDPR). This information is never sold or shared without user’s express content (i.e. registration for a third-party conference).

How we keep your personal data secure

Atlantic Forum take the protection of your personal data very seriously and we take appropriate steps to ensure your personal data is stored in a secure environment to prevent any unauthorised access. We may use external data service providers to process personal data on our behalf. When we do so we have appropriate agreements in place to protect the data. Any data transfers between external service providers and us are conducted by secure means.

Sharing of your personal data

We will not share your personal information with any third parties for them to use for their own marketing purposes, unless we have specifically informed you (see ‘About our events’ above). We may disclose your personal data if required to do so by law.

How long we store your personal data for

We will only retain personal data for as long as is necessary for the purposes we are using it for. How long we retain data will vary depending on the purposes it is used for. We routinely update our email subscriber lists to ensure those who are not engaged are removed.

Please remember  if you use a link to go from our websites to another website, or you request a service from a third party, this Privacy Statement will no longer apply once you have left this website. Your browsing and interaction on any other website is subject to that website’s own rules and policies.

Updates to this Statement

We review and update this Statement regularly to take account of changes to our processing and regulatory changes. We encourage you to review it from time to time. If we make any significant changes to this Statement, we will endeavour to communicate this to you where possible.
